Payment posting

Payment Posting and Reconciliation

We post insurance payments accurately from ERAs and EOBs, reconcile them against deposits and check for underpayments. That keeps balances, reports and patient statements correct.

Posting and reconciliation

  • ERA (835) posting review
  • Manual EOB posting
  • Deposit reconciliation
  • Adjustment review
  • Underpayment flags
  • Secondary billing triggers

The problem

What goes wrong when posting is rushed

Posting looks routine, but errors here ripple into every report and every patient balance.

Wrong balances

Incorrect adjustments leave patients billed too much or too little.

Missed denials

Zero-pay lines are posted without being routed to follow-up.

Unreconciled deposits

Bank deposits and posted payments do not match.

How we handle it

How we post and reconcile payments

Payments are posted to the right claim lines, adjustments are checked, and denials are routed to follow-up.

  • Electronic remittance (ERA/835) posting review
  • Manual posting of paper EOBs
  • Contractual adjustment review
  • Patient responsibility transfers
  • Denial and zero-pay routing
  • Underpayment identification against fee schedules
  • Secondary claim triggers
  • Daily or weekly deposit reconciliation

Process

How payments are posted

Receive

ERAs and EOBs are collected from payers and the clearinghouse.

Post

Payments and adjustments are applied to the correct claim lines.

Review

Denials, underpayments and unusual adjustments are flagged.

Reconcile

Posted totals are matched to bank deposits.

Why it matters

Why accurate posting matters

Correct patient balances

Patients receive statements that match what their plan says they owe.

Underpayments caught

Short payments are identified and followed up.

Reports you can trust

Collections and A/R reports are only as good as the posting behind them.

FAQ

Payment Posting and Reconciliation: common questions

What is the difference between an ERA and an EOB?

An ERA (electronic remittance advice, the 835 transaction) is the electronic explanation of a payer’s payment. An EOB is the paper or PDF equivalent. Both explain what was paid, adjusted and denied on each claim.

Can you post payments directly in our system?

Yes. In most cases, posting is done inside your practice management system with the access you provide.

How are underpayments identified?

Payments are compared with expected amounts from your fee schedules or payer contracts where those are available to us. Differences are flagged for follow-up.
